Where: Account → Settings → Tools → Templates (for Rejection Letters, Interview Letters, Thank You Letters), or Productivity → Communication for general email templates, depending on your app.
Templates let you reuse the same message with placeholders (e.g. candidate name, job title, company name) so you don’t retype everything. You create the template once, then choose it when sending an email, setting up an automation, interview reminder, or Batch Auto Reject.
What to put in a template
- Subject line — Include a placeholder like {candidate_name} or {job_title} if the system supports it.
- Body — Write the message and insert placeholders where the app allows (e.g. {first_name}, {job_title}, {company_name}). Check the template editor’s help or placeholder list for exact names.
- Save and name the template so your team can find it (e.g. "Rejection – after phone screen").
Separate templates for Rejection Letters, Interview Letters, and Thank You Letters keep each use case consistent.
